Identify need to recruit & Assess
vacancy requirements
If named appointment the person
MUST be named on the proposal and
the award PAF. Submitted Staff
request will go through college
authorisation on CORE. When fully
financially authorised it will be pushed
through to E-Recruitment
Upload job description to erecruitment for grading.
Recruitment Assistant will email PI or School/RI
contact to confirm vacancy number & request
Job Description and Organisation chart
Update JD. Update system with details of
grader (s)
Recruitment assistant will give PI/Contact
access to Job Seeker Register
PI will check Job Seekers Register for
any possible candidate for position
Named Appointment - Email :CV, 2
References, Equal Opportunity form.
Directly to recruitment - Will not be
required to check Job Seeker Register.
Complete Committee request form.
Confirm shortlisting date &
interview date
5 working days for advert & grading
3 working days for completion of
Candidate applies/found
Arrange interview and
appoint if successful at
Draft Advert and confirm with PI. Set closing
date and advertise on external website. Send
committee request form
Closing date for applicants to be at
least 2 weeks for MPA, Tech & Op) 4
weeks R&T (needs to be advertised
for 4 weeks to allow for
appointment of non-EEA national)
3 working days
Shortlist in line with recruitment and
selection guidance involving all
members of the committee. Return 1
overall shortlist to recruitment
Notify shortlisted candidates of
presentation topic, timings and AV
Conduct interview. Complete
interview recommendation form and
assessment forms. 1 collective view of
the committee.
Provide justification for Certificate of
Sponsorship (CoS) where appropriate
At closing date send shortlist email to
Notify shortlisted candidates of selection
arrangements and request references. Notify
unsuccessful candidates
5 working days for shortlisting
Send interview paperwork to committee. Eg.
Agenda, Interview assessment forms and
HR Shortlisted applicants and
unsuccessful applicants notified by
email within 2 working days of
receiving shortlist
Contact recommended candidate and issue
contract of employment. Complete Certificate
of Sponsorship if required.
Interview date to be at least 2 weeks
for R&T and 1 week for MPA, Tech &
Op after shortlist given to HR
Inform unsuccessful candidates
Inform PI when acceptance has been
received. Email copy of contract
Add new employee to CORE and generate
staff f number
Collect ID and email future employee
regarding GUID
Within 2 working days of receiving all
required information and paperwork
